Thank you for joining the Gifted Seminars team as tutor for our 2011 school workshops. We very much look forward to working with you and this information update will answer some of the questions you may have regarding your employment with us.
The workshops are aimed specifically at primary students (8-11 yrs approx) and/or lower secondary students (12-14 yrs approx) who clearly excel academically, have high intellectual potential or differ substantially from the norm in that they can be described as Creative Thinkers, Rising Stars, Bright Sparks, Tall Poppies or High Flyers.
Tutor Guidelines:
You represent GIFTEDSEMINARS at all times while on the school premises. It is important that you arrive at the venue at a time sufficiently prior to the start of your workshop in order that you can introduce yourself to the school principal or designated member of management, and familiarize yourself with the location of the room you are going to work in so that you are ready to start when the children arrive. Morning and lunch breaks should be taken to fit with the school timetable. You will be advised of these times via email prior to the course you have been engaged for and it is important not to deviate from them.
You will need to take with you all resources you require in order to operate the successful running of your workshop, including white board markers. Where you intend to distribute photo-copied hand-outs, these must be prepared in advance as you will not have access to school photocopying facilities. The children will have with them their normal school day materials such as pens, pencils, note paper, etc.
If you have specific requests with regard to the running of your workshop, parking for ease of movement of materials, or access to water for example, please contact the school office in advance of your visit to make the necessary arrangements.
You will not have the back up support and supervision that was traditionally provided at the school holiday workshops where organizing staff were present on site. If you are an experienced teacher you will not necessarily need this help. We will endeavour to provide some back up for certain classroom activities that require assistance. You will need to discuss this with us in advance of your workshop engagement.
You are also expected to ensure that the room is left in an acceptable condition at the end of the day. It is up to the tutor AND the students to make sure that any rubbish is put into the classroom rubbish bin, chairs and tables are returned to their original layout, and paper etc is picked up from the floor.
Please close windows, turn off lights and turn off heating/ cooling if necessary.
What you should expect from the student:
A high level of general behaviour is expected from the participating students and this is outlined below for your information:
  • They should respect other classmates.
  • They should always listen to the instructions of tutors and adult staff.
  • They should speak politely to staff and classmates.
  • They should not eat or drink inside the classroom.
  • They should respect school property, equipment, etc.
  • They should not leave the classroom without permission.
  • They should keep the room tidy by using rubbish bins.
  • They should keep cell phones turned off during class time.
If you consider any student’s behaviour to be unsettling to others or troublesome to the point where it impacts upon the progress and learning of the group, you should initially address this with suitable warnings and inform the senior management of the school at the first opportunity. If the unsatisfactory behaviour continues, however, you should isolate or remove the student from the group , ensuring that school management is made aware of your intention. Written documentation from the tutor and a member of senior management will be required if any student is permanently removed. This report will be shared with the student’s parents.
Cancellation of workshops:
As we are in a somewhat uncertain market, we cannot confirm your engagement until ten days before the course starts. This is because the venue schools will be collecting registrations and payments and will nominate the number of students that make any course viable on an individual basis. For this reason we are unable to confirm at this stage the number of students you will have in your group; It will generally vary between ten and eighteen.
Payment for services:
The Gifted Seminars (formerly known as University on Wheels) initiative is organized under the auspices of the Holiday Seminars Charitable Trust and your employment agreement is of course with the Trust rather than with the schools in which you will be working. We are governed by the usual regulations applying to non profit making organizations and you will need to provide us with the following information if you have not already done so:

Payment will be made promptly to you once we have received reimbursement from the schools that have contracted the University on Wheels service. In most instances they will be invoiced two weeks prior to the end of the term in which the course takes place. In order to assist us in effecting this payment to you as speedily as possible we will need to have your own Invoice before the end of term. St. Heliers, 1740. or you can email it to us as an attachment. You should head it `Tax Invoice’ and it should contain the following information:
Date of Invoice
Your Name – Your Address – Your Telephone Contact Numbers
Your GST Number (only if you are registered for GST)
The name of school and the date/s you worked.
Amount owing for hours worked.
Workshop expenses (with receipts attached)
